Withholding tax is applicable in few countries. What is a withholding tax?

Withholding tax is an Income tax which is deducted at the source of the revenue. The party that is subject to tax does not remit the withholding tax to the tax authorities himself.


In any business transaction there are 2 parties involved. One is the customer and another is the vendor. A customer is authorized to deduct withholding tax for services rendered by the vendor. When the vendor raises the invoice on the customer, the customer deducts the withholding tax as per the rates specified by the tax authorities and pays the balance money to the vendor.

The tax deducted by the vendor is remitted to the tax authorities on specified due dates. The vendor gives a Withholding tax certificate to the customer for the withholding tax deducted.

ERP Application Integration - SAP FI/CO R3 Instructional Design for Training Lucent Technologies by IBM Global Services May - September 1997 Lucent Technologies embarked on a company-wide ERP application conversion from legacy systems to SAP FI/CO R3.

They contracted with Price Waterhouse for configuration and IBM Global Services for documentation and training. The first division targeted for conversion was Corporate Finance, which for Lucent meant Buy / Pay / Revenue Cycle and the attendant Customer Master modules. Corporate managers are in Basking Ridge, NJ and Revenue Cycle personnel, in Atlanta, GA. The idea was to use the first division process as a template for the eventual conversion of the rest of the divisions.

SAP Account Determination Material

General Ledger ( G/L ) Accounting is a central component in SAP Financials where monetary values corresponding to all business transactions are recorded.


Throughout the month, more often than not, G/L Accounting is at the receiving end of postings generated in other SAP components. For example, a goods receipt posted in Inventory Management creates a G/L entry to the debit inventory and credit clearing account. Similarly, an expense report posted in Accounts Payable creates a G/L entry to the debit travel expense and credit payables.

At the end of the month, as part of month-end processing, quarter-end processing, or year-end processing (collectively called period-end processing), you must carry out several activities in G/L Accounting in order to prepare financial statements that are in statutory compliance and reflect the state of the business as accurately as possible.

These activities typically include the reconciliation of numbers, the reversal of accrual entries from prior months, the creation of new accrual entries based on current month business, valuation of foreign currency transactions, adjustment postings for errors or reclassifi cation, etc.

Some of these activities must be done manually e.g., adjustment postings to correct errors. However, for some other activities, such as valuation of foreign currency, some level of automation can be introduced.

As you will see in this material, the G/L account determination process in G/L Accounting mostly uses the transaction key technique to obtain the required G/L accounts for business transactions. (SAP-Press.com)

Payment Advise Question

We would like to send Payment Advices to vendors via Fax & E-mail.
We have put the e-mail and the fax number in the company code specific data of the vendor (i.e. accounting clerk's data) and we have configured the Payment Advice form.


When we make a payment run and select many vendors, we want to be able to:
- send the payment advice for vendor 1, 2 & 3 by fax
- send the payment advice for vendor 4, 5 & 6 by e-mail

The issue is that only 1 PDF is created with the payment advices of all these vendors.

When we want to send it via Fax or e-mail, it will be rejected, because there are different fax numbers/e-mail addresses in 1 PDF document.

Is it possible in a payment run to generate 1 Payment Advice per vendor?



Please check the function module you have assigned in FIBF transaction code for process 00002040.

This is the function module which triggers either email or fax. You need to modify according to your requirement. You can change this from which field the fax number or email address needs to be picked up. You can modify if you want both fax as well as email.

When you make payment of 100 vendors for example then spool gets generated with one file where all 100 vendors payment advices in one PDF file. However, when the system send an email to the vendors, it sends their own payment advice to the email address mentioned on the general data tab of vendor master.

You can see the email being sent or in queue in SAP transaction code SOST. Before that make sure your basis team has configured in SCOT.-Ravi

Duplicate invoices function in SAP

In SAP FI module, when checking for duplicated invoices, the SAP system compares the following:


  • Vendor
  • Currency
  • Company code
  • Gross amount of the invoice
  • Reference document number
  • Invoice document date.

SAP OSS Note 305201 clarify this in a more detail below:

The following fields must be identical for Duplicate invoice check

Company code (BUKRS)
Vendor number (LIFNR)
Currency (WAERS)
Reference number (XBLNR)
Amount in document currency (WRBTR)
Document date (BLDAT)



If the SAP document is having any one of the above filled different then the SAP system does not consider it as a duplicate invoice and also It will check duplicate invoice check in vendor master data and in posting key is there check box selected for sales related

The setting you making in OMRDC

SAP Menu Path: Materials management -> Logistics Invoice Verification-Incoming Invoice -> Set Check for Duplicate Invoices

This configuration is only valid for SAP MM module and not FI invoices posted via FB60/FB65.

You should check the F1 help on field "Check double inv." (LFB1-REPRF) in the relevant vendor master record through SAP transaction code: FK02.

Please also check, that message F5 117 has been set correctly in the SAP IMG using this path:

Financial Accounting -> Financial Accounting Global Settings ->Document -> Default Values for Document Processing -> Change Message Control for Document Control For Document Processing.

Then go to the relevant posting key is defined as sales related in SAP transaction code: OB41. You have to flag this field if the duplicate invoice check should work.

Document Types for Entry View

In this activity, you define your document types. Document types are used to differentiate the business transactions and to manage how document are stored.


Document Types for General Ledger View

You define for non-leading ledgers the document types for the documents in the General Ledger view. At the same time, you assign for each document type a number range to be applied in the assignment of document numbers
  • You do not need to make these settings for your leading ledger because, in the case of this ledger, the document number in the entry view always corresponds to the document number in the general ledger view.
  • You only have to make these settings for any non-leading ledgers that have a fiscal year variant that differs in at least one company code from the fiscal year variant of the leading ledger in this company code. In this case, the document number in the entry viewdoes not correspond to the document number in the general ledger view and you have to define a separate document type with document number assignment for the general ledger view. For all non-leading ledgers that, in the company code to which the postings are made, have a fiscal year variant corresponding to the fiscal year variant of the leading ledger in this company code, the document number in the entry view always corresponds to the document number in the general ledger view.

Note:


The need to define a document type for documents in the general ledger view depends only on whether the fiscal year variant of the non-leading ledger in the company code (to which the postings are made) differs from the fiscal year variant of the leading ledger in this company code.

Organization within India, which wants to get withholding tax computed on Vendor Invoices. As pointed in help.sap.com - CIN does not contain any modifications of standard SAP System objects; hence technically CIN can exist with other add-ons. However, before you implement CIN with other add-ons, you must test the business procedures in the SAP System to ensure that those in the various add-ons are compatible.
Below configuration is based on SAP ECC 6.0. The configuration can also be held as reference for R/3 470 release and 46C release.

The Withholding Tax configuration enables the system to calculate and report TDS in India. The standard functionality is mainly used in withholding of tax from vendor invoices and depositing the same with the tax authorities.

GL - Recon acct ready for input

You should never put "Reconciliation account ready for input" for a RECONCILIATION Account.

Reconciliation Accounts are only mean for posting by the System, but when you select the "Recon. Account ready for input", it would become like a normal account, it will allow you to post directly, and this would invalidate the integrity of the data.


Therefore, you should never put the check box Reconciliation Account ready for input for RECONCILIATION accounts.

But the draw back in AA in SAP, when you make initial load of the asset balances the balances are being posted to Asset Sub-Ledger but not to the GL Account. Hence, in such cases, you are required to Reset the Reconciliation Accounts in OAMK and post the same entries into GL Account that you have loaded to Asset Sub-Ledger and then again make them as Reconciliation Accounts.

This selection is useful if you want to post down payments on asset on a different alternative reconciliation account and by this selection you will be able to change the reconciliation while posting.
Prior to use this option you need to set the alternative reconciliation account in customizing:
Financial Accounting -> Accounts Receivable and Accounts Payable -> Business Transactions -> Postings with Alternative Reconciliation Account -> Define Alternative Reconciliation Accounts

Sometimes all down payments on assets are posted to this kind of reconciliation accounts.

New Tables in New General Ledger

Three new tables in the new general ledger handle totals, store general-ledger and specific line items, and calculate valuations for year-end closings in parallel ledgers


Two new tables (FAGLFLEXA & FAGLFLEXP) store the ledger-specific line items (Actual & Planned) & contain additional information for use in the entry view. The tables help in updating different characteristics and document splitting information, different period shifts, and different currencies in specific ledgers for individual documents. Helps in preparing reports for specific dimensions at item level.

The third table (BSEG_ADD) contains documents that are posted in connection with valuations for year-end closing in selected parallel ledgers. However, these documents are inapplicable if one do not use parallel accounting or use the accounting approach to portray parallel accounting.

In addition to the three tables, own table can be defined using FAGLFLEXT as template

The new totals table contains additional standard fields for storing totals. This standard table can activate support for many scenarios by customizing the software. It supports Segment Reporting, Profit-Center updating, Cost-of-Sales accounting, Cost-center updating, Preparation for consolidation and Business-area updating

What are some of the integration points of the FI module?

SAP is marketed as a fully integrated system, therefore knowing some of the integration points enables the Users to better understand the Modules.


· Organization units are not only defined in FI(Financial Accounting) but also in other SAP Modules. The SD( Sales & Distribution) Module requires the set-up of Sales Organizations, Distribution Channels and Divisions ; Purchasing requires purchasing organizations, plants, and storage locations; and CO (Controlling) requires a Controlling area to be defined.

· To transfer data between FI(Financial Accounting) and CO (controlling) as well as other modules, a Company Code must be assigned to each of the Modules.

· Business Areas must be entered when generating business transactions if you would like visibility of those transactions impacting a certain BA(Business Area). You can also update your Master Records to include BA(Business Area) for example Cost Center.

· Document postings are automatically posted in the year and periods that you created in the Fiscal Year variant set-ups based on the month, start and end dates to which postings are allowed within a given period as defined.

· There are several integration points in SAP, the above lists a few .
